Every thriving church needs intentional planning that both creates clarity and empowers staff to grow. Annual planning is not just about filling a calendar, it is about creating rhythms that bring momentum to the church and help your leaders thrive in their roles.

When I served as a lead pastor, I met every Wednesday with a lead team representing each ministry of the church. At that time, there were 11 people on the team. These meetings were a space to walk through everything happening across ministries. The key was to come in prepared with a clear direction, while remaining flexible enough to allow collaboration. As the leader, you make the final decision, but you want input. That is why these leaders are in their roles, and their perspective strengthens the plan.

At the start of each year, I encourage pastors to hold a dedicated planning meeting with their lead team. Use this time to create a calendar for the year that establishes a healthy rhythm for your church. This rhythm allows you to anticipate momentum points, prepare well, and give your congregation the gift of consistency.

Once the lead team has built out the plan, take the next step by laying it out before the entire staff. This ensures everyone is aligned, informed, and prepared to serve with excellence. Communication and collaboration are the secret to a well-oiled ministry team. When everyone knows what is ahead, they can bring their best and grow in the process.

Annual planning is not about control, it is about stewardship. When done well, it sets your staff up to reach their maximum potential and your church to flourish in the year ahead.
